Paper based systems only allow information flow in one direction. Service Minder allows you to accomplish that and much more. Once entered, your resident and staff information can be retrieved in a variety of ways, including: reports, forms, billing statements, staff service schedules, clinical documentation, and other mandated paperwork to meet regulatory requirements.
Service Minder keeps track of hundreds of variables within the core of the software. Each variable can be identified, tracked and clustered together with other variables to report the data in a meaningful way. A unique feature within the Service Minder database is our report writer. Service Minder produces all of the customary Assisted Living operational reports, along with A/R Aging and Reporting. The software was designed to be utilized as an all-encompassing integrated software system. Assessments are tied directly to service plans and service agreements. These documents are tied into a provider schedule, which automatically generates the required documentation for direct care providers, and is ultimately tied directly into the billing module. The software generates a service agreement for the resident or family to sign, eliminating duplicative work processes.

Service Minder software saves time, particularly expensive labor such as an RN, LPN, management, along with direct service providers’ time, and those who do monthly billing work. A central database collects all the information from day to day, month to month, and year to year. It provides easy access at any time for any authorized user within the corporation. It keeps track of planned and unplanned services, price and package changes, and generates reports that would take days or weeks on a paper system. Utilizing a LAN environment, it also tracks incidents and accidents notes that can be reviewed remotely if facilities are allocated throughout the region, or if corporate would like to see an accident report from a managed site.
Further, if there ever is a need to pull these accident notes for legal reasons, the database archives these notes per date and time stamp for quick access and review.
Our new PDA module was designed to reduce assessment paperwork and allow for quick re-assessments – reducing expensive RN labor costs, along with giving direct care providers a tool to:
- Complete assessments at any location
- Easily confirm planned services
- Quickly capture unplanned services
- Track employee productivity
With the introduction of the PDA, the assessment information will flow from the PDA directly into a service plan with no paperwork to be completed each time an assessment is administered. In addition, it allows the RN to complete the assessment at the point of service, saving time for your highest paid employees. When you enter the information once into the assessment, a tentative service plan and agreement is generated, saving time and assuring accuracy as you move through your admission or re-admission process. This assures that the resident receives the necessary services upon admission, enabling a smooth transition into their new home. Our whole process starts with the assessment and is interconnected from one step to the next. The RN enters the data once and accomplishes several related tasks.

Tracking changes in medical conditions through Service Minder is done in the following way:
- The medical condition is documented as a baseline in the first assessment
- Scheduled planned services are delivered, confirmed, and documented
- Unplanned services provided by the care provider are recorded by type of service, time(s) given and amount of time it took for each service in Service Minder. Service Minder is able to track each variable, by service, by day, by hour, by resident, by staff member to produce reports and information that will record changes to be investigated further.
- Additional service types and service hours per resident produces the evidence for further analysis and even the need for resident re-assessment to benchmark against the previous assessment/service plan.
- Tracking ala carte and unplanned services and then providing detailed reports empowers clinicians to become pro-active in attending to changes in resident conditions, communicating with families, and renegotiating contracts with other payers.
- The PDA will enable RNs to increase monitoring of changes in condition and reduce associated paper work.
